What's it take to put a successful event together?

Hey all, I'm not sure if this is the right place to post, but I'm going to ask here.

We have quite a few Pinzgauers spread out all over Texas and a handful of us are interested in putting a trip together to go to the Big Bend Area. The first problem we have is none of us have ever put something like this together.

I'm asking for any ideas or advice from you all on what it takes to put on a "rally" or whatever and have it be successful/enjoyable for all?

What should we avoid that has not fared well?

Any ideas would be greatly appreciated.
